How to Compare Fastener Quotations Beyond Unit Price

Compare fastener offers on the same specification, quantity, packaging, documentation and delivery scope. Use a practical checklist to clarify exclusions before ordering.

Two fastener quotations can show different prices because they cover different requirements. Before selecting an offer for bolts, screws, nuts, washers or threaded rods, check that both suppliers are quoting the same item and supply scope. A lower unit price is only meaningful when the underlying assumptions are clear.
Match each offer to the same specification Use a line-by-line item list with buyer part numbers, drawing revisions, dimensions, thread details, material, grade or property class and finish. Ask suppliers to identify exceptions explicitly. A description such as “similar to drawing” should be clarified before approval. Do not treat an alternative material, dimension or finish as equivalent merely because the product name is the same.
Check the quantity and price basis Confirm the quantity for each line and the unit used for pricing: per piece, per pack, per hundred or another stated basis. Clarify minimum order quantities and whether the quoted price depends on a combined order or a particular quantity break. Separate trial quantities from expected repeat orders rather than assuming the same price applies to both.
Separate recurring and one-time charges Ask whether tooling, samples, special packaging, labelling or requested inspection records are included or charged separately. If a charge is described as one-time, clarify its scope and what happens when the drawing or order changes. Keep those answers with the quotation so the order is not based on an incomplete cost comparison.
Compare packaging and documentation Check pack quantities, carton or pallet arrangements, label requirements and lot separation against your purchasing brief. Confirm which inspection or material documents are included for the actual items being offered. A general company certificate is not the same as the shipment-specific records requested in your purchase specification.
Clarify delivery scope and timing Record the delivery destination or handover point and exactly which transport-related services the supplier has included. Ask what the lead-time statement starts from: order acceptance, payment, drawing approval or sample approval. Separate sample preparation, production and transit estimates where relevant. Do not compare a production estimate from one supplier with an arrival estimate from another as though they mean the same thing.
Ask about changes and open questions List any requirements that have not yet been confirmed. Ask how proposed substitutions, drawing changes, quantity changes or delivery changes will be communicated and approved. Where an offer depends on further review, identify that condition before issuing a purchase order.
