Fastener Packaging and Labelling: A Buyer’s Checklist

Define pack quantities, part identification, lot separation, labels and shipment records before ordering bolts, nuts, screws, washers or threaded rods.

Fastener packaging is part of the purchasing specification. A quotation that only says “standard export packing” may leave the buyer and supplier with different expectations. For bolts, screws, nuts, washers and threaded rods, agree how items will be counted, identified and packed before placing the order.
Start with the receiving process Explain whether your team receives bulk stock, replenishes bins, assembles kits or resells individual packs. Identify any warehouse requirements that the supplier must review. A pack designed for one receiving process may not suit another. Ask for a proposed packing arrangement and confirm it in writing.
Define quantities at every packaging level State pieces per inner bag or box, inner packs per carton and the total order quantity for each item. If you purchase by weight, clarify the agreed quantity basis and how it will be checked. Do not assume that a stated carton weight guarantees an exact piece count. Identify whether partial cartons are acceptable and how they should be labelled.
Keep similar parts clearly separated Fasteners that look alike may have different threads, lengths, materials or finishes. Specify whether different part numbers or lots may share an outer carton. If mixed cartons are allowed, request separately identified inner packs and a clear contents list. For matched sets, define exactly which components and quantities belong in each kit.
Approve a label sample Provide your required label fields and review a sample before shipment. Depending on your receiving needs, fields may include buyer part number, item description, drawing revision, size and thread, material or grade, finish, pack quantity, purchase-order reference and lot identification where required. Ask how any requested barcode will be formatted and tested against your own receiving process. Labels are identification aids, not substitutes for agreed inspection records.
Discuss protection and handling Describe the transport route, expected storage conditions and any handling restrictions. Ask the supplier to propose packaging appropriate to the item and the agreed shipment conditions. Confirm protection for threads, surfaces or long items where relevant. Avoid assuming that a generic carton or bag provides a particular level of moisture protection or long-term storage performance.
Align packing lists and shipment records Agree how carton or pallet identifiers will correspond to the packing list. Identify any required dimensions, weights, pack counts and supporting records. Your receiving team should be able to match the delivered items to the purchase order without opening every pack simply to identify its contents.

Confirm changes before dispatch If the final packing arrangement differs from the approved plan, request a revised packing proposal before dispatch. Record agreed changes rather than relying on a verbal understanding. When goods arrive, check the package condition, identifiers and quantities against the order and agreed receiving procedure.
