Fastener RFQ Checklist: What to Include for a Clear Quotation

Prepare a complete fastener RFQ with drawings, dimensions, material, thread, finish, quantity, packaging and documentation requirements before requesting a quotation.

A useful fastener quotation starts with a clear request for quotation (RFQ). A product name or photograph is a starting point, but may leave important purchasing requirements open. Use this checklist when enquiring about bolts, screws, nuts, washers or threaded rods.
  1. Identify the part and controlling document List the product name, your part number and the required standard or drawing. Include the drawing revision and units. Identify the applicable standard revision rather than requesting an unspecified equivalent. State which document controls if requirements differ.
  1. Specify dimensions and thread details Provide diameter, length and critical dimensions. For threaded parts, state the thread system, pitch or threads per inch, and required tolerance or fit. For washers, include inner diameter, outer diameter and thickness. For threaded rods, include overall length. Photos can clarify appearance, but should not replace a dimensioned specification.
  1. Separate material from mechanical requirements State the material designation and any required grade or property class. Do not leave these to be inferred from a finish, colour or photograph. Identify project-specific requirements and items that need clarification before an offer can be accepted.
  1. Define finish and mating components Specify the coating or surface treatment and associated purchase requirements. When buying bolts, nuts and washers as a set, identify the mating components and request confirmation of the proposed combination against your specification. Any alternative should be identified separately for your approval.
  1. State quantity, packaging and delivery needs List quantity per item, any trial-order quantity and expected repeat demand separately. Add pack quantities, labels, carton or pallet requirements and the delivery destination. Give your requested delivery date and ask the supplier to confirm feasibility; a target date is not a confirmed commitment.
  1. Agree documentation before ordering Identify required inspection reports, material documentation, traceability, samples or other purchase records before ordering. Ask what can be supplied for the specific item and lot. A general company document should not be treated as proof of conformity for a particular shipment.

Compare quotations on the same basis Check whether each offer covers the same specification, quantity, packaging and documentation. Request written clarification of exclusions and substitutions. Keep the approved specification with the purchase order so both parties work from the same requirements.
